<p>Bellfield College has a rewarding full time opportunity for an Executive Assistant to join its team to support the Head of Senior School in managing the leadership responsibilities and commitments of their role. This pivotal role will see you primarily responsible for performing a range of administrative duties and providing strong support and assistance to the Head of Senior School, the Senior School Leadership Team and senior teaching staff. The role is multi-faceted and the successful applicant is expected to interact with the complete cross-section of the School community to ensure effective planning, coordination and delivery of executive and administration services.</p><p><b>This is a full-time position available for immediate start. </b></p><p><b>Key Responsibility areas </b></p><ul><li>Provide high-level professional administration support to the Head of Senior School, Senior School Leadership team and senior teaching staff</li><li>Identify and prepare the information requirements for the Head of Senior School for meetings, appointments, and presentations</li><li>Assist as required in the preparation of papers, reports, policy documents and proposals</li><li>Undertake research as required for specific information and projects using electronic resources and/or networking relationships with key stakeholder groups</li><li>Coordination and management of senior school events and specific projects</li><li>Manage all mail and phone calls directed to the Head of Senior School and distribute correspondence to relevant school personnel</li><li>Manage the Head of Senior Schools calendar and appointments</li><li>Act as Minutes Secretary for various meetings and other committees chaired by the Head of Senior School</li><li>Coordinate and ensure information sharing and liaison with other members of the Leadership Team and staff</li><li>Organise catering arrangements as required by the Head of Senior School</li><li>Maintain effective filing systems and confidential records</li><li>Identify efficiencies and innovative practice for the Head of Senior School’s Office</li><li>Attend training programs, as required</li><li>Attend office administration and whole staff meetings, as required</li></ul><p><b>Key Selection Criteria </b></p><ul><li>Experience in a school administration setting desired</li><li>Highly developed interpersonal skills and demonstrated experience in working with a range of stakeholders.</li><li>Excellent organisational skills and the ability to be, flexible, proactive and, resourceful.</li><li>Ability to work independently as well as being an integral part of a team.</li><li>Demonstrated adherence to maintaining confidentiality and privacy.</li><li>The capacity to establish professional and friendly rapport within the College</li><li>Exceptional organisational, planning and coordination skills including:</li></ul><ol><li>coordinating briefings, correspondence and meetings;</li><li>Ability to show judgement, prioritise tasks and handle multiple demands effectively and efficiently</li><li>Experience in administrative support to individuals, teams, projects, and programs.</li></ol><ul><li>Excellent verbal and written communication skills including:</li></ul><ol><li>Experience in coordinating the collection of information and data and preparing reports;</li><li>The capacity to prepare agendas, minutes, correspondence and briefing papers to a high standard;</li><li>Excellent telephone manner.</li><li>Experience in using a range of technology/data skills to assist the development and design of presentations and/or related digital materials;</li></ol><ul><li>Demonstrated ability to handle emergency and stressful situations professionally</li><li>Excellent computer skills, particularly in Microsoft Word, Excel, PowerPoint, Email and database management</li><li>Valid First Aid certificate or willingness to obtain prior to employment</li></ul><p><b>Essential Criteria </b></p><ul><li>Extensive and relevant work-based experience in a similar role, preferably in the provision of complex, administrative support to staff in senior leadership roles.</li><li>Ability to empathise with and manage the complex demands of a school environment.</li><li>Ability to manage day-to-day work-flow and unexpected situations in an intelligent, flexible and professional manner.</li><li>High level of discretion and a core understanding of professionalism and confidentiality within the workplace.</li><li>Advanced level skills and experience with a variety of computer programs, including Microsoft Office and database reporting tools with an ability to troubleshoot system-related problems.</li><li>Strong interpersonal skills with the ability to establish and maintain trusting relationships with all members of the school community.</li><li>A natural affinity with people, supporting others and providing exceptional levels of service to staff and students.</li><li>Work cohesively in a team environment as well as working autonomously where required.</li><li>Represent the school and its wider community by providing positive, enthusiastic and professional support.</li><li>Actively support and contribute to a healthy staff culture focused on customer service.</li></ul><p><b>Terms and Conditions of Employment</b></p><p><b>Hours of Work: </b>38 hours per week, 8.00am till 4.00pm Monday to Friday. </p><p><b>Annual Leave</b>: Four weeks annual leave. It is an expectation that leave will be taken in the school holidays during the College closure period in December and January. </p><p>Staff employed in Assistant positions may be required from time to time, to work reasonable additional hours in order to fulfil the duties of the position.
