As Personal Assistant (PA) to the Principal you will be responsible for providing high quality timely administrative and operational assistance to the Principal. This role requires the person to work independently, with the principal as well as with teams, taking responsibility and care for the accuracy of work in a demanding work environment.

<p>Given the breadth of the Principal’s role, this role entails a wide range of responsibilities and demands requiring flexibility and commitment to offering support. The Personal Assistant to the Principal plays a key role in representing the School to stakeholders and the wider community.</p><p>The expected start date is Day one of Term 3 2022, Monday July 11 </p><p> </p><p><b> </b></p><p><b>This position is ongoing, with an FTE of 0.6 which is 3 days per week. Days are negotiable but preferably not a Monday. Salary  rate is Education Support Category B Level 2 </b></p><p><b>Key Responsibilities</b><br /></p><ul><li>Provide support to the principal, including preparation of correspondence, writing emails, screening telephone calls, preparation of reports and event administration </li><li>Be a point of contact for parents and other stakeholders in all matters relating to the Principal, maintaining confidentiality and liaising with confidence and clarity </li><li>Manage time and logistics for the principal by managing their calendar and diary </li><li>Provide support for the Executive Leadership Team and Leadership Team where needed </li><li>General Responsibilities (include but are not limited to): </li><li>Assist the Principal in dealing with sensitive and confidential correspondence and ensuring confidential documents and records are filed and secure </li><li>Ensure reference material is collected and collated and ready for meetings and be responsible for taking minutes of meetings where required </li><li>Preparation of school newsletter </li><li>Provide high level, confidential, administrative support to the Principal. </li><li>Provide a ‘gatekeeper’ and ‘gateway’ service to ensure access to the Principals’ time and office as appropriate. </li><li>Assist with preparing annual reports, including Annual Report to the Community, Annual Action Plan, Strategic Plan . </li><li>Prioritise all matters coming through the Principal’s office, including telephone calls, emails, requests and concerns with respect and initiative. </li><li>Maintain and regularly update the Principal’s diary, including scheduling appointments. </li><li>Keep the Principal well informed of upcoming commitments and responsibilities and provide briefing papers and running sheets as required. </li><li>Prepare documents for meetings and appointments. </li><li>Manage and prioritise the Principal’s mail and distribute as required. </li><li>Prepare correspondence, reports and presentations as required. </li><li>Organise travel arrangements for the Principal and Leadership as required. </li><li>Organise venues and catering for professional development </li><li>Welcome visitors to the school and on behalf of the Principal, endeavour to best meet their needs. </li><li>Order flowers and gifts on behalf of the school in liaison with the Principal. </li><li>Assist in coordinating whole school events e.g Graduation </li><li>Support the Executive Leadership Team and Leadership Team </li><li>Undertake any other duties as delegated by the Principal. </li></ul><p><b>Skills / Knowledge / Attributes </b></p><ul><li>Well presented with a professional, positive, warm and welcoming disposition </li><li>High level of written and verbal communication - excellence in proofreading and formatting documents </li><li>Ability to keep confidence, yet discern when an issue must be escalated </li><li>A flexible attitude with a willingness to learn new skills </li><li>Personable and collaborative, a proven team-player </li><li>Excellent organisational skills and a systematic approach with attention to detail </li><li>Demonstrated high-level computer skills and literacy with specific skills in MS Office/Word/Excel/Publisher/PowerPoint and proficient use of the Google suite of Apps </li><li>Excellent interpersonal and communication skills, with a demonstrated ability to build rapport and interact effectively at all levels of the school </li><li>Strong organisation and time management skills, with an ability to prioritise tasks, meet prescribed deadlines and concurrently manage a number of competing tasks </li><li>Excellent English language skills including grammar, spelling and punctuation </li><li>High level of keyboard skills and ability to format and present information accurately </li><li>Previous experience in a school environment would be beneficial </li><li>Able to meet current Covid-19 vaccination requirements </li><li>Current Working with Children Check and Police check. </li></ul><p><b>Application Process </b></p><p>Candidates should provide the following documents in support of their application: </p><ul><li>A cover letter addressed to the Principal, Adrian Glasby demonstrating how the applicant meets the responsibilities and skills/knowledge and attributes </li><li>A current resume with three referees including one from their current place of work. </li></ul><p>All applications should be sent via email to <a href="mailto:principal&#64;stcapw.catholic.edu.au" rel="nofollow">principal&#64;stcapw.catholic.edu.au</a> </p><p>Applications close by 5pm on Monday May 30 </p><p><br /></p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p><p> </p>
