<p><strong>ADNINISTRATIVE ASSISTANT - St Agnes' Matraville/Our Lady of the Annunciation Schools</strong></p>

<p><b>The Administrative Assistant role focuses on providing support services to the Principal and Leadership team members to enable efficient operation of both </b><b><u>St Agnes' Matraville and Our Lady of the Annunciation Pagewood </u>schools.</b></p><p><strong>Commencing January 2022</strong></p>
<p></p><p><em><strong>MAJOR ACCOUNTABILITIES</strong></em></p><ul><li>The Administrative Assistant is required to perform tasks that include but are not limited to:</li><li>Providing general administrative services to the Principal and Leadership team including filing, routine correspondence, record management, and retrieving records, documents and reports to support the effective operation of the school.</li><li>Scheduling both schools calendars, coordinating appointments, meetings, and invitations to guests to meetings.</li><li>Researching, retrieving and providing required data for various stakeholders including Building Project Manager, Architects, and SCS Central Office staff.</li><li>Updating records and databases, complying with records management processes, to ensure information is accurate, stored correctly and accessible.</li><li>Preparing project scope, monitoring project plans, providing information and status updates to stakeholders.</li><li>Managing and responding to workflow with initiative, flexibility whilst prioritising tasks.</li><li>Recording minutes of meetings accurately.</li><li>Using various data gathering software applications including word processing, spreadsheets, and databases.</li><li>Establishing and maintaining strong working relationships with key stakeholders through effective communication and negotiation skills.</li><li>Collaborating with project stakeholders, and managing issues in a timely manner, escalating as needed. </li><li>Promoting and implementing Sydney Catholic Schools mission and vision To know and love Christ through learning and Thriving Catholic communities through excellent teaching and learning</li><li>Promoting and abiding by Sydney Catholic Schools values of empathy, curiosity, excellence, collaboration and truth.</li><li>Any other duties as directed from time to time.</li></ul><p><b><i>KNOWLEDGE AND EXPERIENCE</i></b></p><p><b>Essential </b></p><ul><li>TAFE NSW/College certificate III/IV or equivalent qualification in administration. </li><li>Demonstrated high-level computer literacy through proficiency in Microsoft Office packages including Word and PowerPoint, SharePoint, Google mail/apps, and PHRIS.</li><li>Demonstrated exceptional written and verbal communication skills.</li><li>Demonstrated highly developed interpersonal skills.</li><li>Demonstrated excellent skills in managing difficult conversations.</li><li>Demonstrated excellence in customer and client service.</li><li>Demonstrated personal initiative and ability to work effectively in a team environment.</li><li>High-level written, oral and presentation skills.</li><li>A valid Working With Children Check clearance (WWC) number.</li><li>Ability to respect, support and uphold the mission, ethos and teachings of the Catholic Church and the values of Sydney Catholic Schools.</li></ul><p><b>Desirable </b><br /></p><ul><li>Prior administration experience.</li><li>A current driver’s licence.</li><li>Is a Baptised Catholic with demonstrated evidence of ongoing commitment to the teachings of the Catholic Church and engagement in the life of a Catholic faith community such as a parish or an established community within the Catholic Church, as an expression of their relationship with Jesus Christ. </li></ul><p><b><i>KEY RELATIONSHIPS</i></b></p><p><b>Internal</b></p><ul><li>Principal</li><li>Leadership Team</li><li>Students/families</li></ul><p><b>External</b></p><ul><li>Building Project Managers</li><li>Architects</li><li>SCS Central Office staff</li><li>Contractors /Suppliers</li></ul><p><br /></p><p><br /></p><p><br /></p>
