The Workplace Health and Safety (WHS) Administration officer is responsible for providing efficient, accurate and high quality secretarial/administrative support to the Work, Health and Safety Adviser and the Rehabilitation and Return to Work Adviser (RTW).

Our staff is recognised as being central to achieving our mission. </p><p><b><u>About the Role </u></b></p><p>The Workplace Health and Safety (WHS) Administration officer is responsible for providing efficient, accurate and high quality secretarial/administrative support to the Work, Health and Safety Adviser and the Rehabilitation and Return to Work Adviser (RTW). </p><p>The WHS Administration Officer demonstrates competency involving the application of administrative knowledge and depth to support the core functions of WHS, injury/case management and WorkCover processes. The incumbent will support the WHS function across TCE assisting with a wide scope of tasks and complex decision making. This position will be required to provide general advice on aspects of WHS and triage events in consultation with the Work, Health and Safety Adviser. </p><p><b>Key Accountabilities </b></p><ul><li>The Key Accountabilities of the role are as follows: </li><li>Monitor, log and respond to general incoming WHS related enquires and provide immediate assistance ensuring accuracy to appropriate TCE WHS polices and guidelines and directing to the WHS or RTW Advisers as appropriate </li><li>Ensure WHS administrative tasks are completed within agreed timeframes including but not limited to: </li><li>Preparation of reports and presentations </li><li>Preparation of WHS resource material including safety alerts, surveys, newsletters and schedules </li><li>Coordination and updating of WHS registers </li><li>Organisation and secretariat support of WHS meetings </li><li>Maintain mandatory documentation and WHS filing systems in accordance with TCE Record Retention Guideline and WHS regulations and protocols </li><li>Coordinate the WHS pool vehicle including scheduled maintenance </li><li>Process purchase orders and invoices in accordance with procurement processes </li><li>Provide assistance with the coordination of TCE provided professional development including the administration of travel, accommodation, venue, catering and presenter bookings </li><li>Ensure the accurate editing and drafting of WHS resources and materials via the WHS quality register – upload new and revised documents to the staff portal ensuring a commitment to accuracy and quality standards </li><li>Collate WHS incident reports and submit notifications and applications in accordance with Workers Compensation and Rehabilitations Act and Regulation </li><li>Monitor and update WorkCover Portal with the timely commitment to response and provision of accurate response material </li><li>Contribute to the WHS function by active participation in the TCE Emergency Control Organisation </li></ul><p><b><u>About You </u></b></p><p><b>Experience </b></p><ul><li>Proven ability to advise and support the delivery of WHS practices, policies and guidelines </li><li>Proven experience and proficiency providing high level administrative support in a safety context to mitigate or escalate immediate issues </li><li>Demonstrated ability to professionally communicate and liaise with a range of stakeholders internal and external regarding WHS matters </li></ul><p><b>Knowledge </b></p><ul><li>Knowledge and understanding to assist with WHS problems and incoming emergency situation enquiries </li><li>Knowledge of Workers Compensation Qld Act 2003 and WHS Legislation </li><li>High level of computer literacy including the Microsoft and Google suites </li></ul><p><b>Skills </b></p><ul><li>Strong organisational and time management skills to prioritise workloads, meet deadlines and use initiative, flexibility to change when the need arises </li><li>Ability to maintain a high degree of professionalism and confidentiality in all areas of work </li><li>A demonstrated ability to develop and sustain productive working relationships. </li><li>A dedicated commitment to continuous improvement and development to support the TCE safety agenda </li><li>Strong decision making and response skills to support a change environment </li></ul><p><b>Mandatory Criteria </b></p><ul><li>Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government </li><li>Some knowledge of WHS legislative requirements and Codes of Practice </li><li>Some knowledge of Workers Compensation and Rehabilitation processes </li><li>Current Driver’s Licence </li><li>Ability to travel from time to time within the Catholic Diocese of Townsville </li><li>Ability to perform the physical requirements of the role in a safe manner. </li></ul><p><b>Desirable Criteria </b></p><ul><li>Cert IV in Work Health and Safety </li><li>Current First Aid certificate </li><li>Cert IV in Training and Assessment </li><li>Fire Safety Advisor Certification. </li></ul><p><i>Some employees may be subject to pre-employment medical assessments during the selection process.
