We are seeking a highly motivated Administration Assistant with suitable experience and qualifications to support the Deputy Principal: Learning Enabler. A key responsibility of the role is the daily organisation of staffing.

<p>The Administration Assistant upholds a high level of integrity and trust and promotes a culture of mutual respect, encouragement and works with others in a professional, ethical and co-operative manner. The role requires the person to have an understanding of the commitment to confidentiality.</p><p><b>Responsibilities and Accountabilities </b></p><ul><li>Oversee diary of Deputy Principal: Learning Enabler </li><li>Minutes of forums that the DP Learning Enabler chairs </li><li>The nature of the Daily Organiser component of this role requires the position holder to be on call and commence work from home at 7:00am. </li><li>Arrange replacements for absent staff as required. </li><li>Engage Casual Relief Teachers (CRTs) as required and monitor CRT budget. </li><li>Maintain and manage details of CRTs and provide details to payroll. </li><li>Maintain records of staff absences and provide information to payroll. </li><li>Maintain College data management process for the allocation of staff duties. </li><li>Monitor the availability of work for replacement classes. </li><li>Organise room changes and redistribution of classes where necessary. </li><li>Distribute and update staff Yard Duty Roster. </li><li>Arrange staff supervision for activities including exams, excursions and other College events. </li><li>Process Professional Learning forms and update Staff Professional Learning records. </li><li>Process Excursions and Camps on Student Activity Locator. </li><li>Advise Out of School Care of closures and early finish times. </li><li>Facilitate the development of the Annual College Calendar in cooperation with the Deputy Principal Learning Enabler. </li><li>Oversee the College calendar and ensure that it is regularly updated and there is a timely communication of any changes to staff. </li><li>Planning and logistics for student immunisation days. </li><li>Liaise with photographer for College photos including logistics and planning for site. </li><li>Liaise closely with the PA to the Principal and Admin Assistants to other Deputy Principals </li><li>Responsibility for updating and maintaining staff handbook (online) </li><li>Other duties as required by the Deputy Principal Learning Enabler.</li></ul><p><b>Qualifications, Skills and Experience </b></p><p><b>Essential </b></p><ul><li>Highly proficient computer skills in the MS Office suite including Outlook, Word and Excel </li><li>Administration and office experience </li><li>A current full Working With Children check is mandatory </li><li>Highly developed people and customer service skills. </li></ul><p><b>Desirable </b></p><ul><li>Certificate IV Business Administration or similar </li><li>Experience as Daily Organiser </li><li>Experience with using timetabling and/or school management software packages to manage the daily organiser’s work. </li><li>Experience in Synergetic and/or SIMON or similar</li></ul><p><b>Personal Qualities </b></p><ul><li>Strong oral and written communication and interpersonal skills </li><li>Highly developed organisational skills, planning, problem-solving, analytical and thinking capabilities. </li><li>A flexible approach to work and is adept at prioritising, operating under pressure and managing multiple tasks to meet deadlines. </li><li>Capacity to maintain confidentiality and deal with staff empathetically. </li><li>Ability to build and maintain strong relationships with staff, students, parents and the community </li><li>Outstanding attention to detail </li><li>A personal sense of initiative </li><li>Commitment to customer service and continuous improvement </li><li>A resourceful team member who is able to operate in a collaborative and inclusive manner. </li><li>Demonstrated interest in ongoing personal professional learning</li><li>A positive approach to working with Educators, Students and Parents.</li></ul><p><br /></p><p>Please visit <a href="http://www.marist.vic.edu.au" rel="nofollow">www.marist.vic.edu.au</a> for application details, position description and an employment declaration.<br /></p><p>Applications close 9am, Monday 1 March 2021.</p>
