Role Outline: The Level 4 Administration Officer ensures a welcoming presence and effective assistance are offered to parents, students, staff and visitors to the College by being responsive to their immediate needs of the CELC Reception, College Front Office and afternoon Activities Club by using discretion and good judgment under general direction to perform their day to day work. This role will see the successful applicant located at various times in the Catholic Early Learning Centre (CELC) Reception Area and College's Front Office, and under the functional guidance of the CELC Director and the administrative direction of Head of Enterprise and Partnerships. Monday to Friday, 11:30am to 6:00pm with 30 minute unpaid lunch break. 48 weeks per year.

Knowledge and Experience<br>An assumed knowledge or training in clerical/administrative tasks equivalent to a Certificate III or Certificate II/Year 12 with work experience.<br><br>Requirements of the Role <br>Support the mission and teachings of the Catholic Church's work in Schools and Early Learning.<br>Demonstrated ability to work effectively both autonomously and as part of a team. <br>Demonstrated ability to follow direction, prioritise and meet set deadlines.<br>Demonstrated interpersonal skills in working with various students, staff, parents and community partners.<br>Strong planning and organisation skills.<br>Demonstrated ability to maintain the quality of assigned work.<br>Knowledge and ability to operate complex office equipment, online and digital applications<br>Undertake development programs relevant to the skills and duties to be undertaken.<br><br>Key Accountabilities: CELC Office and Finance: <br>Maintain a welcoming presence for parents and visitors to the College.<br>Direct telephone calls and messages to relevant personnel.<br>Assist students, staff, parents and visitors with queries.<br>Use relevant databases, including Hubworks, FACES, Compass, TechOne and Matthew, to:<br>Maintain accurate information including student attendance and enrolment data. <br>Maintain student files and upload all relevant information to student records.<br>Enter financial data for financial and management reports for review and authorisation.<br>Maintain regular invoicing and receipting procedures for the CELC and Activities Club.<br>Undertake bank and ledger reconciliations as required.<br>Ensure the CELC Reception is neat and tidy towards the end of each day.<br>Manage the CELC email account.<br>Assist other support staff on a needs basis as directed by the Campus Director - Enterprise and Partnerships.<br>Other duties as assigned by the Principal, and <br><br>Key accountabilities Student Care:<br>Maintain up to date documentation including medication health records, Medical Alerts as well as injury and incident reports.<br><br>With an understanding that there is a team based approach to support staff, and with advice from either the CELC Director of Head of Enterprise and Partnerships, the Principal Leader reserves the right to vary this position description in response to changing needs and circumstances.<br><br><br>Application Requirements<br><br>Prospective applicants are to express their interest by submitting a written application consisting of<br>(no more than) one A4 page cover letter responding to the role outline; and,<br>(no more than) one page resume with three referees.<br><br>All applications are to be sent to jobsatslcc@parra.catholic.edu.au by 3pm 24/04/2019 <br> Start: as soon as possible
